PRIVACY POLICY

At Truly Scrumptious we take your personal data very seriously. Below you will find our GDPR policy which is all about why and how we collect and store your personal details in accordance with the GDPR legislation that came into effect on 25th May 2018.

How we collect your data


We collect your data in a few different ways:

  • using a digital consultation form via our secure online booking system (Book In Beautiful) which is password protected.

  • Via our shop on Book In Beautiful (password protected)

  • Using a digital consultation form on a tablet which is then stored within a password protected app.

  • newsletter sign up form on our website (password protected)

  • social media channels such as Facebook and Instagram (password protected)

  • consent for any images/videos to be used where you feature

    What personal data we collect and why

  • Your full name - So we can address you in the salon and ensure all communication is with the correct person.

  • Date of birth - So we can wish you a happy birthday, to help us distinguish between clients with identical names and to make sure your treatment is age appropriate. We may also need it for the emergency services.

  • Email address - To send booking confirmations, appointment reminders and to our optional newsletter

  • Your address to send out gift vouchers/products – this is only collected if one of these purchases has been made and is required in order to post.

  • Medical history including allergies and medication - this is crucial to allow us to perform our treatments safely and adhere to the terms of our insurance and product house policies.

  • Skin test information - This is a test we carry out in the salon to test for potential allergic reactions to certain treatments. We keep a record of this in case you do react so we know what products were used and when.

  • Treatment history - This is so we have a record of the treatments you have received just in case any problems arise.

  • Your consent - We require you to read and sign a paragraph that allows us to obtain this information lawfully from you and legally store it in accordance with GDPR.

  • Your consent to use treatments photos/videos - Some of our treatments involve before and after photos on salon devices to aid the client experience and proof of progress/treatment.  Sometimes we like to use these on our social media/website/external and internal marketing and need your permission to do so.

How your data is stored


Your data is mainly stored in digital and form. If we need to use paper consultations these will be stored in a locked cabinet that only staff at Truly Scrumptious have access to. Digital information is stored using our online booking system and shop, Book In Beautiful and is password protected. We also store some of our consultation forms in a password protected app on a tablet which only staff at Truly Scrumptious have access to. Any images are stored, with consent, on a laptop, smart phone or tablet – all of which are password protected. There may also be data stored within messages that you have sent via Facebook or Instagram. Again, these apps are password protected.

How long we hold your personal data for


We are required by our insurers to hold your data for up to seven years unless you ask us otherwise. You are welcome to request that all/some of your data is removed from one or all of our collection points/social media at any time.

Third parties

We use:

Book In Beautiful to collect the information outlined above

Mailchimp (which holds your name and email address) to send out newsletters

Outlook Mail (which holds your email address) to send out Covid-19 Screening Questionnaires and other forms of day to day correspondence such as answering queries or if we need to get in touch with you regarding your appointment.

Facebook and Instagram to communicate with you where we may take details such as name, telephone number and email address.

All of the above companies will have their own GDPR policies which you can look up at any time.

WE DO NOT SELL OR SHARE YOUR DATA WITH ANYONE.


Your right to access or if you change your mind

Your data control officer for Truly Scrumptious is Beckie Yeomans. In the event of a breach of personal data you will be contacted by the above mentioned person within 48 hours of discovery.

You have the right to be forgotten. If at anytime you no longer wish to be on Truly Scrumptious’ database that's no problem, simply send an email to Beckie at trulyscrumptiousyou@outlook.com and we will remove your digital file and then cross shred any paper file and ensure if you opted onto our mailing list that this is also removed. You can also request at any time to have any images removed.


You have the right to access your personal data that Urban Eden beauty holds and the right to rectification if it is incomplete, incorrect or out of date. You also have the right to Data portability if you wish us to transfer some personal data maybe patch test results if you a moving towns to another salon. You also have the right to object to processing and direct marketing. Your data can remain in one place but not used.

If you believe that there has been a breech in our GDPR policy then it is your right to contact the ICO (Information Commissioner’s Office) at Make a complaint | ICO

Booking & Cancellation Policy

  • All bookings are subject to a NON REFUNDABLE booking fee which is 25% of the cost of each treatment.

  • You may cancel or change your booking up to 24 hours prior to your scheduled appointment time without forfeiting your booking fee.

  • Should any changes or cancellations be made after this time your booking fee will be lost and you will be required to pay another prior to rebooking.

  • Please note that there are no exceptions and it is not viewed on a case by case approach.

  • If using a gift voucher to book with there is no separate booking fee required, however, a £10 fee per treatment booked will be deducted from the voucher total if the above terms are not adhered to

    If you are on treatment subscription, your upfront payment is inclusive of your booking however, should you cancel/reschedule with less than 24 hours notice then £10 will be deducted from this and a further £10 will need to be paid in order to complete your course.


    COVID-19 SCREENING POLICY

If any of the following applies to you please cancel/reschedule your appointment

  • You have tested positive for Covid-19 in the last 10 days or awaiting test results

  • You have been in close contact with someone who has tested positive

  • You are suffering from cold/flu symptoms or feel generally unwell

Covid 19 Safety & Client Attendance Policy

  • Masks are no longer required during your appointment however if you are feeling unwell or suffering from cold symptoms such as a cough, runny/blocked nose, sneezing you may be requested to wear a mask. If you would prefer your therapist to wear a mask, please do not hesitate to ask.

Truly Scrumptious Terms & Conditions

*Our Covid policy takes precedence when there is any contradiction in terms or conditions.*

Please note that to receive treatments at Truly Scrumptious, you must agree to all of these conditions.


DEFINITIONS

  • “us”, “we”, “our”, “Truly Scrumptious” refers to the salon

  • “you”, “client” refers to a customer of Truly Scrumptious.

General

  • By becoming or being a customer at the Truly Scrumptious, your agreement with these terms and conditions is implied.

  • These terms and conditions may be updated at our discretion without prior notice.

  • It is your responsibility to read and understand these terms and conditions, a written copy of which is available on request.

BOOKING

  • You may book appointments with us in person, by telephone or via our online booking system

  • Advanced bookings may be refused to clients who have missed appointments without giving at least 24 hours notice.

  • A non refundable booking fee is required to secure your booking. A booking will not be made until this is recieved.

CANCELLATIONS

  • Cancellations require 24 hours notice, otherwise your booking fee will be lost

TREATMEANT SUITABILITY

  • we are not obliged to treat you if we deem treatment is not appropriate for any reason.

  • Some treatments will require a patch test, performed at Truly Scrumptious. We cannot accept patch tests that have been performed at other salons

  • Prior to any treatment, you will be required to complete a consultation form. This is to ensure that the treatment booked is suitable and safe to perform. Should anything change with your health it is vitally important that you inform us at time of booking. Please note that all personal information is kept securely and in line with GDPR

  • the following treatments cannot be performed on anyone under the age of 16: lash and brow tinting

  • facial resurfacing treatments, chemical peels, intimate waxing and laser treatments cannot be performed on anyone under the age of 18

  • all other treatments can be performed over the age of 13 with parental/guardian consent and presence.

CONDUCT

  • We will refuse treatment to customers who behave in an ill-mannered, aggressive or hostile way towards any member of staff.

PUNCTUALITY

  • Arriving late may interfere with your treatment, all appointments will end at their scheduled time so that the next client will not be delayed, and a full charge will be applied.

  • Please arrive 5 minutes prior to your appointment so we can begin your treatment on time

TREATMENT TIMINGS

  • Treatment time stated includes brief consultation and dressing time

TREATMENT EXPECTATIONS / COMPLAINTS

  • we hope that you enjoy your visit with us however if the treatment you recieved was not to your expectations then please do get in touch. We strive to deliver beautiful treatments and so feedback is vital to help us continually improve.

PREPAID COURSES OF TREATMENTS

  • these are available to purchase for most treatments. If you cannot see the one you require, please get in touch.

  • courses are set to a 'purchase 4, get your 5th for free, except on facials where this differs

  • courses must be paid in full upfront

  • courses are not subject to any further discount

  • all courses are non refundable. Should the treatment become unsuitable at any time you may use your remaining credit against another service/product purchase or gift the remainder of the course to another person

  • courses have no expiry date

GIFT VOUCHERS

  • Gift vouchers are available to purchase in person or online

  • Most gift vouchers have no expiry date. Some special offer vouchers or seasonal vouchers do have an expiry and can only be used up until that date. These vouchers may also have their own overriding terms and conditions

  • Gift vouchers may be used for services or product purchases

  • Gift vouchers are non-refundable

  • Gift vouchers cannot be redeemed for cash, sold or transferred.

  • Your gift voucher number must be quoted at the time of booking

  • If using a gift voucher for payment you must bring this with you otherwise an alternative payment method will be required

  • You are not under obligation to use the full value of your vouchers during one session.

  • A separate booking fee is not required when using a gift voucher, however, if you fail to adhere to our Booking & Cancellation Policy, the booking fee value of the treatment(s) booked will be deducted from the gift voucher total


PAYMENTS

The following payment methods are welcome:

  • SumUp Pay app

  • Cash

  • Bank transfer

  • Paypal

We regret that card payments are not currently accepted. The best way to pay using a card is via the SumUp Pay app or PayPal where your payment card can be uploaded.

All prices include value added tax at a current rate

REFUNDS

  • At our discretion, we can offer a full refund on retail products if they are unused, in their original packaging, in a fully saleable condition and are accompanied by proof of purchase, presented within 28 days of purchase.

  • We do not offer a refund for treatments

PRICE ALTERATION

  • We reserve the right to alter prices without prior notice

CHILDREN

  • We encourage you to attend your appointment without bringing children however if you do need to bring your little one it is your responsibility to keep them quiet and under control during their visit. If any child causes disruption we may cancel your appointment and ask you to leave. PLEASE NOTE THAT FOR LASER TREATMENTS, CHILDREN CANNOT ATTEND

PERSONAL ITEMS

  • Please ensure you retrieve all your personal items before leaving the premises as we cannot be held responsible for lost items

RETAIL PRODUCTS

  • Retail products must be paid for in full at time of purchase or ordering
